The VeriDOCS System

VeriDOCS is an integrated web-compatible chart management system and integration platform designed for Emergency Departments. VeriDOCS interfaces with hospital information systems to electronically capture, store and distribute Emergency Department patient data. VeriDOCS maintains patient data in a reliable, secure environment and seamlessly integrates with billing systems to automate the entire workflow of patient document handling and billing. Using VeriDOCS, coders select CPT, ICD9 and HCPCS codes from pull-down menus and automatically build a billing record for export to any billing system.

The system is designed to significantly reduce coding and billing costs while streamlining the entire workflow. VeriDOCS' scanning and storage function eliminates the cost of handling multiple paper documents. The electronic transfer of charts and demographic data to billing services and other authorized agencies eliminates courier/overnight delivery costs. Additional features include remote access to a password protected centralized database, availability of a reports generator and access to a real-time address validation system.

Why you need VeriDOCS

Currently most Emergency Departments must photocopy patient charts after the patient has been discharged or admitted. The hospital stores the original and the ED physician group distributes copies. Typically, to accelerate billing, a bundle is sent to the billing service via courier or express mail every night. Once the billing service receives these copies, they are manually distributed to coders, who review the charts and assign diagnosis, procedure and E/M codes based on physician notes. After the charts are coded, the billing personnel manually key the patient’s demographic data, insurance information along with the CPT, and ICD-9 codes into a billing software to generate a bill. VeriDOCS automates these procedures and streamlines the processes.

How VeriDOCS can help

VeriDOCS automates the entire process. With VeriDOCS, once the physician completes a chart, it is scanned into the database. At this point, VeriDOCS interfaces with the Hospital Information System (HIS), via HL7 or other format, to capture and store demographic data and insurance information entered at registration. The chart is and all patient demographic data are then made available to the billing service in the VeriDOCS database. Coders retrieve the chart and assign CPT and ICD-9 codes online. VeriDOCS then automatically exports transactions to the billing system to automatically generate bills.

The address verification capability validates patient personal information against United States Postal Service (USPS) data and the HL7 patient demographic data in the VeriDOCS database. This feature not only increases collections, but also reduces processing costs associated with unsuccessfully dunning patients with known erroneous addresses.
